ClymbUp.ai
ClymbUp for Healthcare Practices

Fewer empty slots.
Every patient call answered.

ClymbUp helps medical, dental and specialty practices fill their schedules, answer patients when the front desk can't, and keep their reputation healthy. It's built by someone who has spent almost 30 years building systems inside healthcare, so we start from how your practice actually runs.

The free business interview takes about 10 minutes. No obligation.

Almost 30 years in healthcare

We know healthcare from the inside.

Kevin O'Donnell, ClymbUp's founder, has spent almost 30 years building the systems healthcare organizations run on. That experience goes into every ClymbUp Healthcare build.

Systems and workflows

Designing how work moves through a healthcare organization, from the front desk to the back office.

Databases and data warehouses

Building the databases and warehouses that pull clinical, scheduling and billing data into one place people can trust.

Alerting systems

Making sure the right person hears about the right problem right away, instead of finding it in a report days later.

Efficiency workflows

Finding the steps that eat staff time and building them out of the day.

Auditing systems

Checks that catch errors and gaps before they turn into compliance or billing problems.

ETL and integration

Moving and cleaning data between systems that were never designed to talk to each other.

Where it leaks

Where practices lose time and revenue

No-shows and late cancellations

An empty slot can't be sold again once the hour has passed. Without a reminder that lets patients confirm or reschedule, you find out when the chair is already empty.

Calls nobody can pick up

Patients call while the front desk is checking someone in, during lunch, and after hours. Many hang up instead of leaving a voicemail and call the next practice.

Patients who quietly drift away

Overdue cleanings, missed annual visits and follow-ups that never got booked. They're already your patients, and often nobody reaches out.

What we build

Built around your practice

Every build starts with how your practice runs today: your scheduling system, your staff and your patients. Items marked Running today are working now. The rest we build for your practice.

Scheduling and no-shows

  • Appointment remindersPatients confirm or reschedule by text, so you know about an open slot while there's still time to fill it.
  • Waitlist backfillWhen someone cancels, patients on the waitlist get a text offering the open time.
  • Patient recallPatients overdue for a cleaning, an annual visit or a follow-up get a friendly reminder to book.
  • Pre-visit prep and intake remindersWhat to bring, how to prepare, and a nudge to finish forms before the visit.

Patient communication

  • AI phone receptionist Running todayAnswers when the front desk can't, in English or Spanish, takes the patient's details and sends your staff a summary.
  • After-hours patient texting linePatients text a question at 9 PM and get an answer about hours, directions or rescheduling. Refill and records requests go to your staff. Never medical advice.

Reputation and feedback

  • Review monitoring and drafted replies Running todayGoogle and Yelp watched every day. New reviews come with a drafted reply for your approval.
  • Review requests after visitsHappy patients get an easy link to leave a review, so your rating reflects the care you give.
  • Post-visit feedback loopA short survey after each visit. Unhappy answers go straight to your practice manager, before they turn into a public review.

Practice data

  • Practice dashboardNo-shows, call volume, recall results and reviews in one place, updated every day.
  • Referral follow-upKnow which referred patients actually booked, and which ones fell through the cracks.
  • Custom reports and alertsThe report you've always wanted from your systems, or an alert when something needs attention.

How it works

Start with one problem, not a platform

1

Free business interview

About 10 minutes on how your practice runs: calls, scheduling, no-shows, reviews and what frustrates your staff most.

2

A written report

Kevin reads it and sends you the one thing worth fixing first, what it's likely costing you, and the cheapest way to fix it, even when that isn't us.

3

Built around your workflow

We build one piece at a time, alongside your staff, and measure whether it worked before adding the next.

Built for healthcare

Patient safety and privacy come first

Never medical advice

Our tools handle scheduling and practical questions. Anything clinical goes to your staff, and anyone describing an emergency is told to call 911.

Your staff stays in charge

Anything sensitive is drafted for a person on your team to approve. The AI handles the routine work, and your staff makes the calls that matter.

Patient privacy

We sign a business associate agreement (BAA) with your practice before we handle any patient information, and we only use vendors that will sign one with us.

From the lab

Diagnostic reasoning demo

A working demonstration of multi-agent diagnostic reasoning, after Microsoft Research's MAI-DxO: five AI physicians debate a case, ask questions, order tests and commit to a diagnosis, with every step and every dollar of the workup shown. It's a research demonstration, not a clinical tool.

Questions

Common questions

How do you handle HIPAA and patient information?
Before we handle any patient information, we sign a business associate agreement (BAA) with your practice, and we only use vendors that will sign one with us. Your written report spells out which parts of a build touch patient information and which don't.
Will the after-hours texting line give medical advice?
No. It handles the practical questions: hours, directions, rescheduling, and passing refill or records requests to your staff. Anything clinical goes to your staff, and anyone describing an emergency is told to call 911.
Does it work with the scheduling system we already use?
Usually. We start with what you already use. If your system has a way to connect, we build on it. If it doesn't, your report says so plainly and lays out the options.
Do patients need to download an app?
No. Reminders, confirmations and the texting line all work by regular text message, and the phone receptionist answers a regular phone call.
Can it talk to patients in Spanish?
Yes. The phone receptionist speaks English and Spanish, and patient texts can go out in the patient's preferred language.
